  • Raffle Donation:

Vendors MUST donate an item they sell valued at $25.00 (minimum) that will be raffled off throughout the event as part of this fundraiser. Your raffle table donation item must be available at check-in before your unloading and setting up.

Please only send payment once your application has been approved.

  • Publicity:

The show will be publicized using various mediums (yard signs, event bulletins, social media, school newsletter, school marquee, etc.). Each individual crafter needs to help spread the word themselves. Please share our website (https://dtowneasthsa.ptboard.com/) and Facebook event to publicize the event as much as possible. We suggest you invite friends and followers/customers to the event. The more shoppers, the more potential income for each crafter

  • Set-up:
    • Friday, October 27, 2023                                7:00 p.m. – 9:00 p.m.
    • Saturday, October 28, 2023                           7:00 a.m. – 8:30 a.m.

Downingtown East High School students are dismissed at 2:40 p.m. Teachers, staff, and students involved in after-school activities do not leave until later in the afternoon. We ask that you do not arrive at the school before 6:00 p.m. No crafter will be permitted into the school to unload or set up until 7:00 p.m.

Upon arrival, please enter through your assigned door (which will be provided to you before the show) to check in and turn in your raffle item donation. Your check-in information will only be available at your designated check-in entrance.

Due to the limited number of carts available, you may need to wait to use one. Feel free to bring your own cart to assist in the unloading process. When unloading, please unload all items from your vehicle and then move your vehicle to the parking lot, allowing other crafters to unload near the building. We cannot guarantee enough student volunteers, so please come prepared to unload your own vehicles. Volunteers can only load items, take them to your assigned space, and unload items. They will not be available to assist you in setting up your booth. You must keep your displays within the space you rent. If electricity has been confirmed for your space, please bring your own extension cord.

  • Tear Down:

You may not tear down displays until 2:00 p.m. on Saturday. Vendors leaving early will not be permitted to participate in future craft shows. Complete removal of crafts and displays must be completed by 4:00 p.m. To request assistance with moving out, please see the coordinator at the information table to add your name to the list, and someone will be allocated to help you. Please do not flag down volunteers to help you. Items must be fully packed before asking for assistance. There is a possibility that you may have to wait for assistance; please be patient during this busy time.

  • Confirmation:

An email will be sent once your application has been approved with payment information, followed by a “confirmation email” with your designated entrance for check-in (emailed two weeks before the event). Space numbers will be provided at check-in. To keep a balance, we reserve the right to limit the number of crafters and artisans in each medium. Buy-sell/ “home party” demonstrators are accepted into the show but on a limited basis.

We require a minimum of three pictures of your items to be submitted with the application.

  • Parking:

Plenty of free parking will be available. Vendors will be asked to park in a designated parking area on show date. It is very important that vendors park in the designated vendor parking area, as we want to make it as convenient as possible for the attendees to park.

  • Concessions:

We will serve various food and drinks all day from the school café. At check-in, vendors will receive a ticket for a free coffee and breakfast treat, which must be used between 7:30 a.m. – 8:30 a.m. on the day of the show. Vendors will be given an opportunity to pre-order lunch or can purchase a snack from the snack cart.

  • Building Temperatures:

We cannot control the temperature in the school. Some areas in the school are cold, while other areas are hot. We strongly advise you to layer your clothing.

  • Cancellation:

Before September 1, 2023, cancellations will be subject to a $25 processing fee. Cancellations on or after September 1, 2023, will NOT receive a refund. Late fees are non-refundable.

If an issue arises on the event day, please contact your Area Supervisor or volunteer. A volunteer will be stationed at the information table throughout the day, and volunteers will be wearing green t-shirts with name tags on them.

DASD Guest Internet Wi-Fi access will be available to vendors. However, we cannot guarantee how your device will work within our building, nor do we guarantee the security of credit card transactions processed over our network.

If you have any questions, please contact dtowneasthoneandschool@gmail.com. We look forward to another great craft show!
